Job Description

The Licensing Associate will coordinate all operational functions within the licensing department and with internal and external stakeholders. The Licensing Associate requires minimal supervision, possesses both a thorough understanding of department objectives and the appropriate level of judgment to make decisions that are consistent with department objectives.

You Are

• Someone with the ability to prioritize and meet deadlines in a busy work environment, adapting to unanticipated deadlines and shifting priorities, while maintaining accuracy in work product by checking/cross-checking own work.

You Will
• Coordinate and traffic product development approvals including logging/uploading submissions to GSUSA project management applications (SharePoint). Complete approval forms; organize and maintain approvals records and product samples; coordinate with licensing agency.
• Assist in product development approval process by reviewing submissions against GSUSA’s brand guidelines, editorial style guide and prior submissions; fact-checking/researching; seeking feedback from other GSUSA departments; communicating consolidated feedback to licensing agent.
• In coordination with general counsel’s office and finance department, track licensee contract compliance (e.g., submission of insurance certificates, third-party manufacturer agreements); create invoices for royalties due in NetSuite system; assist finance with royalty processing and maintain contract files. Complete contract routing forms, traffic and track contracts through signature process.
• Supply information and materials to licensing agency.
• Screen and respond to contacts from potential licensees, help distinguish which are viable sales leads and communicate to licensing agency.
• Support communications with other GSUSA departments, staff and Girl Scout councils via multiple GSUSA channels (e.g., intranet, webinars, e-newsletters).
• Coordinate and provide scheduling and logistics management for on- and off-site meetings, events and conferences, and department travel.
• Execute special projects and perform other administrative tasks as required.

Job Requirements

• 2 – 4 years of licensing experience.
• Bachelor’s degree in liberal arts, business administration or related area, or equivalent relevant experience.
• Expertise and proficiency in Microsoft Office applications (including Outlook, Word, Excel, PowerPoint) and Adobe Acrobat Pro.
